Turn a new client’s onboarding into a predictable flow your whole team can execute inside Instaboard. Duplicate the kickoff brief the minute a contract closes, drag work across clearly labeled stages, and filter stalled credential requests in one click. Document findings as you audit environments, collect access, deploy tooling, lock in security controls, and schedule cadence meetings without hunting through inboxes or spreadsheets.
Open the Get Started section and duplicate the Kickoff brief card to capture the client contact, service window, and top priorities. Assign the card to yourself or a project lead, slap on the Billing label if there are contract items to finish, and add a target go-live date. Drag the brief into Kickoff & Planning once the kickoff call is booked so the team sees it in the flow.
Open the Environment Audit list, duplicate the audit entry card for every network, server, or business unit, and assign it on the spot. Attach scan exports or policy PDFs directly to the card so the findings never leave the board, and tag risky discoveries with Security or Escalation. Move the cards into Environment Audit as soon as they’re created and update owners when remediation work needs to be scheduled.
Use the Credential request card each time you need admin access, assign the responsible technician, and set a due date before the rollout window. Apply the Waiting on client label when you send the request so the team can filter stalled items. Once access is granted, update the status notes and push the card into Tool Deployment so the next phase can start immediately.
After each rollout task finishes, open the Tool Deployment list, update the matching card with CSV batches, deployment logs, or validation screenshots, then drag it forward. Once security actions begin, pull those same cards into Security Hardening so the hardening checklist stays linked. Reassign owners as responsibilities shift and add the Training label when a task will trigger end-user education.
Duplicate the Training session plan card for every audience, attach the slide deck or quickstart guide, and set the Trainer as assignee before you drag it into Training & Handoff. After each session, log feedback in the notes, remove the Billing label once invoicing is confirmed, and tick off any remaining checklist items. Finish by adding the next QBR date so account management sees the onboarding is wrapped.

Can I customize the stage names?
Yes. Rename any list or recolor it after duplicating the board to align with your MSP’s exact onboarding cadence.
How do I keep client documents secure?
Store sensitive files in your password vault or DMS, then attach permissioned links inside the cards so the team knows where each artifact lives.
What if a client skips the security hardening phase?
Mark the Security Hardening cards complete or archive them on the board, and leave the checklist on your master template so it’s ready to duplicate for the next client.
Can I add automation from my PSA or RMM?
Yes. Link cards to PSA tickets, include RMM deployment reports, or embed runbook URLs so automated updates remain tied to the onboarding flow.
