Turn demos into signed revenue faster

Use this Instaboard pipeline to carry a promising demo all the way to a signed order. Built for account executives, presales engineers, and RevOps partners, it lets both sides co-edit the mutual action plan in real time. Instead of chasing spreadsheets buried in email, you lock success criteria, tag owners, and launch security or procurement tasks directly on the canvas. Each stage shows who owns what, which proofs still need to ship, and which blockers are tagged for escalation so champions stay confident and sponsors informed.

  • Co-edit mutual action plans with live assignments and attachments
  • Tag security, legal, and procurement blockers in one lane
  • Show exec sponsors proof by attaching dashboards and Loom clips to milestone cards
  • Hand off closed pilots with every artifact and label intact

Kick off Demo Recap & MAP

Open the Demo Recap & MAP section, duplicate the Mutual Action Item card, and drop it into the first list. Fill in the client and vendor owners, add the recap notes, and set a due date for the next executive sync so the card becomes the shared source of truth instead of a forwarded email. Attach the Loom or slide link you already shared so everyone operates from the same proof. Apply the Champion or Exec sponsor label so stakeholders stay searchable.

Pro tip: Pin the champion’s Slack or email thread in the card description for quick context.

Lock measurable success criteria

Drop a Success Criteria Block under Demo Recap so the metric, proof, and decision owner live on one card. Tag Pilot win as soon as the champion confirms progress, attach KPI sheets or dashboards, and note the measurement window so sponsors never hunt through separate docs. When every stakeholder has commented or reacted on the card, drag it into POC Setup and keep iterating inside Instaboard instead of copying the plan elsewhere.

Prep the pilot environment

Inside POC Setup Kit, clone the POC Access Request and Pilot Issue Log cards before kickoff. Assign both the internal teammate and client admin on the same card, set due dates, and tag Security review or Procurement when another team must unblock you. Attach questionnaires, NDAs, or ticket links so dependencies stay visible, and use the task checkbox to confirm provisioning before sliding cards into Pilot In Flight.

Run the pilot with accountability

During Pilot In Flight, drop a Pilot Issue Log card every time a blocker appears and tag it Blocked so it stands out. Create task cards for usage milestones, check the box once the proof is delivered, and attach logs, dashboards, or clips as evidence. Indent supporting notes under the main card if you need call summaries or test results. Move cards right only when the champion confirms the milestone is met.

Close with proof and handoff

Once metrics are met, duplicate the Decision & ROI Block, summarize the proof, and link the order form or pricing deck right in the card. Drag it into Contract & Launch, add Procurement or Legal labels if signatures remain, and create the CS handoff task immediately. Keeping the mutual action plan and attachments on that card means onboarding inherits every commitment without a manual recap. Archive or duplicate the board for the next account when signatures land.

What’s inside

Start-here guide

Step-by-step primer that has you duplicate the Mutual Action Item, assign both owners, and drag it into Demo Recap before you touch anything else.

MAP micro-templates

Duplicate-ready cards for action items, success criteria, access requests, pilot issue logs, and decision summaries.

Pilot accountability lane

Color-coded lists plus Blocked labels surface stalled proofs early while attachments keep evidence beside each milestone.

Security and legal stop

Optional stage for questionnaires, NDAs, and MSA redlines so nothing gets buried in email threads.

Contract & launch pack

Final cards capture ARR, term, kickoff plans, and a CS handoff task with every artifact attached.

Why this works

  • Keeps the mutual action plan visible to champions and execs
  • Surfaces security and legal blockers before they stall the pilot
  • Connects success metrics directly to attached proof
  • Hands off every closed pilot with context-rich cards

FAQ

Why not keep the MAP in a spreadsheet?

Instaboard cards hold assignees from both teams, due dates, labels, and attachments in one place, so you move the work item through stages without rewriting status or digging through email threads.

Can I rename or reorder the stages?

Yes. Duplicate the board, rename lists to match your sales methodology, and keep the spacing rules so cards stay aligned when you drag new ones in.

Where should I capture security questionnaires?

Use the Security & Legal (optional) list and duplicate the POC Access Request card so questionnaires, NDAs, and Trust Center files live with the related labels and assignees.

How do I hand off to Customer Success?

Duplicate the Decision & ROI Block plus the Handoff task card, assign your CS lead, and keep attachments (order form, kickoff deck, MAP) on the same cards before moving them into Contract & Launch.
