Updated after Asana's October 15, 2026 change

Asana's free plan is now 2 users. Here's what small groups can do.

Asana's free plan used to fit a small team. Accounts made since November 12, 2025 get 2 users, and older free teams of up to 10 were cut to 2 on October 15, 2026, with about two weeks' notice. If you run a family, a club, a student group or a few friends on Asana, these are your options.

The short answer

  • Asana's free plan is now 2 users. Projects with more members are locked.
  • Paid Asana starts at $10.99 per user a month billed yearly, with a 2-seat minimum. Above 5 people, seats come in steps of 5, so a group of 6 pays for 10.
  • If you're not a company, guests count as paid seats too.
  • Instaboard Free has unlimited collaborators. Pro is $5 a month billed yearly for the owner, and everyone you invite joins free.

What changed on Asana's free plan

  • November 12, 2025: new free accounts get 2 users.
  • December 15, 2025: Asana closed Personal Projects spaces.
  • October 15, 2026: older free teams of up to 10 were cut to 2. Users report an in-app banner about two weeks before.

Asana's help center confirms that the older free plan is being phased out. We couldn't find an official page with the October 15 date; it comes from users' screenshots and Asana's own social posts.

Guests are the other catch. They're free only in an Asana organization, which needs a company email domain. Families, friends and student groups usually end up in a workspace instead, where "anyone collaborating in a workspace counts towards the paid plan, whether full members or guests."

Your three options

  1. Pay for Asana. It's the right tool for a company team with repeating projects, deadlines and dependencies. Three people on Starter cost about $33 a month billed yearly.
  2. Cut the project down to 2 people. This works if one person plans and one person helps.
  3. Move to a tool that doesn't charge per person. If your group plans things together rather than running a business process, a shared board may be all you need.

Who should stay on Asana

  • Company teams with real workflows: dependencies, timelines, rules, forms and reporting.
  • People who rely on reminders. Asana notifies you about assigned and due tasks; Instaboard doesn't.
  • Teams that live in Slack, Google Workspace or Microsoft 365.
  • University students who are 18 or older. Asana gives them Starter free for 12 months.

When Instaboard fits better

  • A family planning a holiday, a move or a reunion, where nobody wants another work app.
  • Clubs and volunteer groups that need everyone on the plan without paying per person.
  • Friends planning a trip or a wedding, with photos, places and who's bringing what on one board.
  • Groups that talk it through. Start a call on the board and decide things while everyone's looking at the plan.

What to know before you switch

  • No reminders, automation or dependencies.
  • No Asana import. Asana exports CSV and PDF on every plan; you can import the PDF as a reference, then rebuild the plan as cards.
  • The free plan has 5 boards and 150 cards and items.
  • People who want to edit need a free sign-in with Google, Apple or email.
