Updated after the October 16 retirement
How to export your Microsoft Whiteboard boards, even hundreds at once
The standalone Microsoft Whiteboard apps retired on October 16, 2026, and Whiteboard on the web only exports one board at a time. If you have dozens or hundreds of boards, there is a faster way. Here is every export option that still works, which account it works for, and what to do with the files afterwards.
Updated

The short answer
- Work or school account: open Whiteboard on the web or in Teams, then Settings → Export → Image or ZIP. One board at a time.
- Hundreds of boards: Microsoft's free WhiteboardAdmin PowerShell module runs Export-WhiteboardHtml, which saves every board you own as an HTML file in one go.
- Personal account: the app retired on October 16, and Microsoft hasn't published a way to get personal boards back. Keep whatever you exported before then.
- PDF: only the retired desktop app exported PDF. Printing from the web gives a blank page.
First: which kind of account do you have?
Everything depends on this. Microsoft retired the standalone Windows, iOS and Android apps on October 16, 2026 for everyone, but only work and school accounts keep Whiteboard itself.
| Work or school account | Personal Microsoft account | |
|---|---|---|
| Where boards live | .whiteboard files in your OneDrive | Not in OneDrive |
| Can you still open them? | Yes, in Whiteboard on the web, Teams and OneDrive | No: the app shows a retirement screen |
| Export one board | Image or ZIP (HTML + JSON) from the web or Teams | No documented way after October 16 |
| Export all boards at once | Yes, with PowerShell (below) | No |

Export one board from Whiteboard on the web or Teams
- Open the board in Whiteboard on the web (sign in with your work or school account) or in the Whiteboard app inside Teams.
- Select the Settings gear at the top right, then Export.
- Choose Image for a picture of the board, or ZIP (HTML + JSON) to keep its content in a file another app can read.
- Repeat for each board. Each export holds one board, and there's no select-all.
Which format should you pick?
Pick ZIP if you might want the content back as ink, notes and shapes later: the free SQLBI Whiteboard app for Windows can open it. Pick Image if you just want to look at the board or keep drawing on top of it in another app.
Export every board at once with PowerShell
Microsoft publishes a free PowerShell module for Whiteboard. Its Export-WhiteboardHtml command finds every whiteboard in your own OneDrive and saves each one as an HTML file. You don't need admin rights for your own boards. It works for work and school accounts only.
- On Windows, open PowerShell (PowerShell 7 is recommended; 5.1 works).
- Install the Microsoft Graph module: Install-Module Microsoft.Graph -Scope CurrentUser. Answer Yes if it asks to trust the PowerShell Gallery.
- Install the Whiteboard module: Install-Module WhiteboardAdmin -Scope CurrentUser.
- Run Export-WhiteboardHtml -Mode User -Environment AzureCloud and sign in with your work or school account when asked.
- Open Downloads\WhiteboardExports. There's one HTML file per board, plus a log and a summary of what succeeded.
If it stops halfway (a network drop or a timeout), run the same command again: it picks up where it left off. IT admins can run it with -Mode Admin to export boards for everyone in the organization.
Government and special clouds
-Environment must match your tenant's cloud. AzureCloud is the normal commercial one; ask your IT team if you're on a government or national cloud.
Why you can't get a PDF anymore
Export to PDF was only in the standalone desktop app, which retired on October 16. Whiteboard on the web offers Image and ZIP only, and using the browser's Print → Save as PDF produces a blank page, as Microsoft's own Q&A moderators confirm.
If you need a PDF, export an image and convert it with any image-to-PDF tool. It will be a flat picture, which is fine for sharing notes with students or keeping a record.
If you used a personal Microsoft account
- From September 25, the app said you could no longer create or edit boards and asked you to export before October 16.
- Since October 16, the installed app shows a retirement screen instead of your boards. Reinstalling it doesn't help.
- Personal boards were never stored in OneDrive, so the work-account recovery steps and the PowerShell export don't apply.
- Microsoft hasn't published a recovery path. The only remaining step is asking Microsoft Support whether your account's Whiteboard data still exists.
If you did export images or ZIPs before the deadline, check your Downloads and Pictures folders; they are all you'll get back. From here on, it's worth picking a tool that runs in a browser and doesn't depend on one app staying alive.
What to do with your exported boards
| Where | What you can do with the export | Good for |
|---|---|---|
| SQLBI Whiteboard (free, Windows) | Opens the ZIP with ink, notes, shapes, PDF pages and comments | Keeping old boards editable on one PC; no live collaboration |
| Instaboard | Drop exported images onto a board and keep drawing on top; free plan allows 3 images per board | Carrying on with others: live pen, cards and lists, video calls, any browser |
| OneNote | Insert images into a page | Personal handwritten notes |
| A folder | Keep the images or HTML files as an archive | Boards you'll only look at again |

Questions
Can I export all my Microsoft Whiteboard boards at once?
Yes, with a work or school account. Install Microsoft's WhiteboardAdmin PowerShell module and run Export-WhiteboardHtml -Mode User -Environment AzureCloud. It saves every board in your OneDrive as an HTML file. There's no bulk export inside Whiteboard itself.
How do I export Microsoft Whiteboard to PDF?
PDF export was only in the standalone desktop app, which retired on October 16, 2026. On the web, export an image and convert it to PDF, because printing to PDF from the browser shows a blank page.
Can I still get my personal Microsoft Whiteboard boards?
Microsoft hasn't published a way to recover personal-account boards after October 16, 2026. Personal boards aren't stored in OneDrive. You can ask Microsoft Support whether your data still exists.
Where are my whiteboards in OneDrive?
For work or school accounts, Whiteboard saves .whiteboard files in a Whiteboards folder in your OneDrive. Open them in Whiteboard on the web or in Teams.
Can another whiteboard app import Microsoft Whiteboard files?
No collaborative whiteboard imports them as editable boards. SQLBI Whiteboard, a free Windows app, opens the exported ZIP for use on one PC. Elsewhere, including Instaboard, you can place exported images on a board and draw on top of them.
Is Instaboard free?
Yes. The free plan includes 5 boards, 150 cards and items across your account (pen strokes, arrows and sections don't count), 3 images and 1 file per board, unlimited collaborators and video calls up to an hour. Pro is $5 a month billed yearly ($59.99 a year), or $7.99 monthly, and the people you invite join free.
